Selecting Agreements
From the Upload tab, you have several ways to upload documents:
-
Use Browse Files to upload single agreements
-
Use Browse Folders to upload a folder, including associated sub-folders (not zipped folders)
-
Drag and drop selections from your computer’s desktop into the Upload panel
Only PDF files can be uploaded unless your organization has selected expanded capabilities. Password-protected files cannot be processed.
Uploading a Single Agreement
Once you have selected the document you would like to upload, you will be brought to a new page that allows you to:
- Fill out the Intake Form,
- Assign Tags, and/or
- Add attachments to the document.
- Note: The Attachments Feature must be enabled in your KI Workspace to add attachments.
You will also be able to view your document through the Document Preview on the right.
Applying Tags and Attachments
Once you have filled out the Intake Form you can assign existing Tags to the document.
You can also add Attachments to the document.
After you have assigned your Tags and/or Attachments, click on Upload to upload your document to KI.
Uploading Multiple Documents
When you upload multiple documents at once, you will have the option to preview each document by selecting the Document Preview icon highlighted below.
Once you choose the documents you would like to upload and click Select Document, you will be brought to the Intake Form.
You can now assign existing Tag(s) to multiple documents at Upload. After you have assigned your Tag(s), you can click on Upload Documents to upload your documents to KI.
Once the upload is accepted, you will see contract(s) go from In Progress to Completed in the Upload page. You’ll see a message for any problems with uploading or if duplicate documents are detected.
If your upload fails or is rejected, you will see a red X rather than a green check mark next to the document. This is often due to the document in question being an invalid file type, a password-protected file, or a duplicate of a document that was already uploaded.
You should always check to see if any of your uploaded files were unsuccessful.
In the event one or more of your uploads fails or is rejected, please contact Knowable Support by either creating a ticket or by emailing support@knowable.com. Please provide a screenshot of the failed upload screen and the file name of the document(s) that did not upload successfully.
Once you have successfully uploaded documents, your Home page offers you quick access to your recent uploads and contracts you need to action.
The Recent Uploads section highlights how many contracts you have uploaded in the past 30, 90 and 180 days
- View totals for each time period: Last 30 days, Last 90 days and Last 180 days
- Click on the hyperlink for each time period to access the underlying documents or click “View All” to access your complete upload list regardless of when they were uploaded
The Document Issues section tracks problems and technical issues with a document that indicate a better/more complete version of the file should be uploaded to Knowable Insights. In this section, you can:
- View totals for each document issue reason: Illegible, Missing Pages, Missing Signatures, Tech Issues and Multiple Documents
- Click on the hyperlink for each document issue to access the underlying documents to review or click “View All” to access all of your agreements with issues
While duplicate documents are not allowed in Knowable Insights, if you try to upload an agreement that already exists in the platform, Knowable will add any new Intake Form data you provide on that duplicate to the existing agreement's Intake Form data. If the documents are exact duplicates, the data merge will be immediate; near duplicates (such as one version executed, one without signatures) will take longer to identify and merge.
